HubSpot Integration

Every form, order, and signup lands in HubSpot the moment it happens.

Contacts, companies, deals, and custom objects synced through the HubSpot API in real time — so your sales team stops waiting on a CSV export and starts working from data that's already there.

Why the native connectors fall short

A generic connector maps generic fields. Your pipeline isn't generic.

HubSpot's off-the-shelf WordPress and WooCommerce connectors sync the fields they were built to sync. The moment your pipeline needs a custom deal stage, a WhatsApp opt-in property, or a course-completion event, you're back to exporting spreadsheets.

×Native connector, default fields

  • Syncs contacts and basic order fields, nothing custom
  • No control over which pipeline or stage a deal lands in
  • Custom objects and properties aren't touched at all
  • No webhook back into your site when a deal stage changes
  • Duplicate contacts pile up with no matching logic to catch them

✓Purpose-built integration

  • Every field you actually track mapped explicitly, nothing assumed
  • Deal stage set by your own order status or lifecycle logic
  • Custom objects and properties for what doesn't fit contacts or deals
  • Two-way sync: HubSpot workflow changes reflected back on your site
  • Email and phone-based dedup before any record is created
How the sync is built

Every field is mapped on purpose, not by default.

What gets built

Built on HubSpot's own object model and APIs

No Zapier bill for every extra automation, no black-box middleware. Direct API integration against the objects HubSpot already gives you.

Contact & Company Sync

Records created or updated on submit, with email-based matching so existing contacts get updated, not duplicated.

Deal & Pipeline Automation

Deal stage set from your own order status or approval logic, mapped to the pipeline stages your sales team actually uses.

Custom Objects & Properties

Course enrollments, property listings, or service tickets modeled as their own objects, associated back to contacts and deals.

Workflow & Webhook Triggers

HubSpot workflows that call back into your site's own endpoints to unlock content, update accounts, or send a notification.

Timeline Event Integration

Custom timeline events on the contact record — a WhatsApp reply, a course completion — visible right where sales already looks.

Two-Way Sync

A property change or deal-stage move in HubSpot triggers a webhook that updates your own database, not just the other direction.

WOOCOMMERCE

Order-to-deal pipeline

Every WooCommerce order creates a HubSpot deal at the order total, with stage set from order status and line items attached for sales visibility.

WHATSAPP BUSINESS API

Conversation history on the contact timeline

Inbound and outbound WhatsApp messages logged as custom timeline events, so a sales rep sees the full conversation without leaving HubSpot.

LMS / MEMBERSHIP

Enrollment-driven lifecycle stage

Course enrollment and completion events push a contact from lead to customer automatically, replacing a manually updated spreadsheet.

N8N / MAKE

Middleware for multi-step sync logic

An n8n workflow handling retries, rate limits, and conditional branching between the source system and the HubSpot API for higher-volume syncs.

Process

From pipeline audit to a sync your sales team trusts

Audit the pipeline

Map your existing deal stages, lifecycle stages, and any custom properties already in use before touching code.

Define the mapping

Decide which fields sync, in which direction, and how duplicate records are matched and merged.

Build against a sandbox

Develop and test against a HubSpot sandbox portal, not your live CRM, so nothing touches real records until it's verified.

Verify with real data

Run real order or form volume through the sync and confirm deal stages, associations, and dedup all behave correctly.

Hand off & monitor

Error logging and a documented mapping reference, so any field added later has a clear place to go.

FAQ

Common questions on HubSpot integration

What does a HubSpot integration actually include?
It includes mapping data from your website, store, or app to HubSpot's object model: contacts, companies, deals, and custom objects. This covers real-time record creation and updates through the HubSpot API, pipeline and deal-stage automation, timeline events, and webhook triggers, so information moves automatically instead of being exported and re-imported by hand.
Can WooCommerce orders sync to HubSpot automatically?
Yes. A new order can create or update a contact, create a deal with the order value, set the deal stage based on order status, and associate line items, all through the HubSpot Deals and Associations APIs at the moment the order is placed.
Does this support two-way sync or just one-way?
Both are possible. One-way sync pushes data from your site into HubSpot. Two-way sync also listens for changes in HubSpot, such as a deal stage update or a property change, through HubSpot webhooks, and reflects that change back on your site or app.
Can custom objects and custom properties be used?
Yes. HubSpot's Custom Objects API supports data that doesn't fit Contacts, Companies, or Deals, such as course enrollments, property listings, or service tickets, each with its own custom properties and associations to existing objects.
How are duplicate contacts handled?
Sync logic matches on email as the primary identifier before creating a record, using HubSpot's upsert behavior on the Contacts API so an existing contact is updated rather than duplicated. Additional matching rules can be added for records without a reliable email, such as phone-based matching for WhatsApp leads.
Can HubSpot workflows trigger actions on my website?
Yes. A HubSpot workflow can call a webhook action that hits a custom endpoint on your site, which can then update a user's account, unlock content, or send a notification, closing the loop from HubSpot back to the site.
Does this work with HubSpot's free or Starter tier, or does it need a paid plan?
Core contact, company, and deal sync works on HubSpot's free CRM tier. Custom Objects require HubSpot Professional or Enterprise, and some workflow actions require Professional and above, so the required tier depends on which HubSpot features the integration uses.
How long does a HubSpot integration take to build?
A single-direction sync, such as form submissions creating contacts, typically takes 1 to 2 weeks. A full deal-pipeline integration with WooCommerce or a custom app, including two-way sync and custom objects, typically takes 3 to 5 weeks.
